Duties and powers of the scientific assistant
The assistant dean of the college for scientific affairs exercises the following powers to facilitate the work of student affairs in the college:
1- Organizing the final exams schedules in coordination with the scientific departments.
2- Organizing the schedule of the weekly lessons in coordination with the scientific departments and in the light of the classrooms to ensure the proper functioning of teaching in graduate studies.
3- Supervising the record of the weekly lectures prepared for this purpose to ensure coverage of all the hours prescribed for each subject and according to the instructions in force in this regard.
4- Follow-up on the time and discipline of graduate students in accordance with the regulations and instructions in force.
5- Checking applications for admission to graduate studies after they are received from the scientific departments, unifying them and submitting them to the University Presidency.
6- Checking cases of transferring postgraduate studies from other universities to postgraduate studies in the college and referring them to the relevant scientific departments for consideration and addressing the relevant authorities.
7- Follow-up of postgraduate students in terms of time periods and devote them to study according to the regulations and instructions.
8- Participate in the meetings of the graduate studies committees in the college when invited by it to discuss matters of graduate studies according to the departments’ specialization in a way that ensures good performance.
9- Preparing the discussion statement for the postgraduate student one week before the date of the discussion and preparing the minutes of the discussion committees, checking them and submitting them to the college council.
10- Supervising the preparation of annual statistics for graduate studies in the college.
11- Handing over the exam books and receiving them in accordance with the applicable rules.
12- Announcing the results of the exams after being approved by the graduate studies committees in the scientific departments and according to the specialization.
13- Providing academic departments with grades according to a form prepared for this purpose for approval by the graduate studies committees.
14- Coordination with the scientific departments regarding the delivery of exam questions for the first and second rounds, in accordance with what is applied in the preliminary studies.
15- Addressing the official departments in everything related to the biography of the graduate student, starting from his registration until his graduation.
16- Addressing the University Presidency/Department of Graduate Studies with regard to everything related to the biography of the graduate student.
17 Addressing the official departments to obtain their fundamental approval regarding the lecturers, after specifying their names and departments by the competent scientific department.
18- Signing the annual bonus and promotion forms for the postgraduate staff and in his capacity as the supreme head.
19- Addressing all official departments and institutions, except for ministries, with all matters related to these powers.
20- Supervising the workflow of the Registration Division, distributing work among its employees, and monitoring their working hours.
21 Signing the promotion and annual bonus forms for the registration staff and as the direct manager.
22- Approval of granting the employees of the Registration Division the regular leaves they are entitled to within the country, taking into account the provisions of the laws and regulations in force.
23- Signing the correspondences of Iraqi, Arab and foreign students with the department concerned with student registration affairs at the university, university faculties and other official destinations.
24- Organizing lists of admission of new students according to the alphabets, registering them and distributing them to the people, in coordination and cooperation with the scientific departments.
25- Organizing and checking documents, as well as grades, study units and courses, and following up the preparatory study requirements for all academic levels.
26- Recording students’ quarterly grades and creating records for grades and keeping them after being handed over by the Examinations Committee.
27- Signing books that include referring students to health centers and hospitals.
28- Supervising students’ absences and entering them in the records, organizing quarterly schedules with the names of students and the number of absences for each of them, publishing them on the bulletin board and warning students who exceed the legal limit for absences in cooperation and coordination with the scientific departments in the college.
29- Organizing a compendium of students who have failed, abandoned and dismissed.
30 – Supervising students’ cultural, social and sports affairs, in coordination with the Federal Committee.
31- Preparing everything related to the semester and final exams.
32- Supervising the implementation of the examination instructions approved by the higher authorities in the ministry and the university.
33- Distribute or grant some of these powers to the employees of the divisions associated with it.
34 – Approval of the purchase of books, magazines and special periodicals for the college library and up to twenty copies of each.
35- Approve the printing of theses, theses, reports and research in the external printing offices in the absence of self-possibility at the college and disbursement of the amounts achieved on them and according to the instructions for implementing the budget in force.
36- Issuing administrative orders for dismissal of students due to absence and fraud.
